How to invite people to your account, assign seats, and understand how subscriptions work for members.

Inviting Members

Bring your team, family, or collaborators into your account so everyone can work together inside the same circles.


How access works

Every member needs a valid subscription to see circle content. There are two ways this can be covered:

If neither is in place the member can log in but will see no circle content until the situation is resolved.

Personal subscriptions are portable

A member who already pays for their own Colistor subscription brings their own access to every account they join. You do not need to assign them a seat and they will not consume one of your plan's seats. Colistor detects this automatically when they accept the invitation.

This means:

  • Inviting a paying user costs you nothing from your seat quota.
  • Inviting a non-paying user requires either assigning them a seat or asking them to subscribe personally.

Sending an invitation

  1. Go to Account → Members and click + Inviter un membre.
  2. Enter the person's email address and choose their role (Member, Admin, or Viewer).
  3. Use the seat toggle to decide whether to fund their access from your account:
    • Toggle ON — you assign them one of your plan's seats. They can access circles immediately after accepting.
    • Toggle OFF — they join without a seat. If they have a personal subscription they will have full access straight away. If they do not, they will need to subscribe personally before they can see any circle content.
  4. Click Send Invitation.

The invitation link is valid for 7 days. You can see all pending invitations under the Invités tab.

Tip: If the person you are inviting already has a Colistor subscription, leave the seat toggle OFF. Colistor will recognise their subscription automatically when they accept — no seat is consumed.


What happens at accept time

When the invited person clicks the link and accepts:

  1. Colistor checks whether they have an active personal subscription.

    • If yes → they join as self-funded (seatFunded = false). No seat is consumed from your account, regardless of how you set the toggle.
    • If no → Colistor checks whether a free seat is available on your plan.
      • Free seat available and toggle was ON → seat is assigned automatically.
      • No free seat or toggle was OFF → they join without a seat. They will need a personal subscription to access circles.
  2. The member appears immediately in your Members list with the correct subscription badge.


Understanding the subscription badges

The amber warning banner at the top of the Members page appears whenever at least one member has the 🔴 badge. You can resolve it by clicking Attribuer un siège next to that member's row, or by asking them to subscribe personally.


Managing seats

Assigning a seat to an existing member

  1. Find the member in the list and click Attribuer un siège.
  2. If a free seat is available the badge changes immediately to 🔵 Siège du compte.
  3. If no seats are free you will see an error. You can upgrade your plan from Account → Billing.

Removing a seat

Click Retirer le siège next to any non-owner member to free up a seat for someone else. The member will still be in your account but will lose circle access unless they have a personal subscription.

The account owner's seat is permanent and cannot be removed.

Moving a seat to a different member

Remove the seat from one member first, then assign it to another.


Removing a member entirely

Click Supprimer next to the member. They are removed from the account immediately and lose all circle access. Any seat they held is freed. This action cannot be undone, but you can invite them again at any time.

The account owner cannot be removed.


Frequently asked questions

Can I invite someone who does not have a Colistor account yet? Yes. They will receive an email with a link. When they click it they will be asked to create a free account before joining yours.

I invited a paying user but I accidentally toggled the seat ON. Will a seat be consumed? No. Colistor checks for a personal subscription at accept time. If the invited user is a paying customer, they are automatically marked as self-funded and no seat is deducted from your quota — regardless of the toggle setting.

The banner is showing but all my members have a seat. What do I do? Check that every member in the 🔴 "Aucun abonnement actif" state either gets a seat assigned or subscribes personally. If the list looks correct, try logging out and back in to refresh your session.

What happens if a member cancels their personal subscription? They will lose circle access on the next session load after their subscription period ends. They will still appear in your Members list with the 🔴 badge. You can assign them a seat at that point if you want to keep their access funded by your account.

Can a member be funded both by a seat and a personal subscription? The system always uses the account seat as the primary source (it shows 🔵). The personal subscription is checked only if no seat is assigned. Either way the member has full access.
