Memo Use Cases

Memo is flexible enough to handle dozens of everyday scenarios. Here are some of the most common ways people use it.


1. Capturing Ideas During a Meeting

You're in a meeting and a great idea pops into your head — you don't want to lose it but you also can't stop the conversation.

How Memo helps: Hit the Quick Memo button in the sidebar. A panel appears instantly. Type your idea and save. It lands on your default board without any extra clicks or navigation. Review it later when the meeting wraps up.


2. Storing Shared Service Credentials

Your team uses a shared account for a tool that doesn't support individual logins. You need to store the password somewhere everyone on the team can access it — but plain text is not an option.

How Memo helps: Create a memo on your team's circle board and choose the Password type. Memo encrypts the value with AES-256-GCM. Team members with circle access can click Reveal when they need it, and the encrypted value is never visible in transit or at rest.


3. Collecting URLs for a Research Project

You're researching a topic and you're bookmarking articles, papers, and tools across multiple sessions. Browser bookmarks get messy fast.

How Memo helps: Create a board called "Research — [Topic]" and add each link as a URL type memo. Give each one a short title so you can scan them at a glance. URLs become clickable in the detail view, so you can jump straight to the page without copy-pasting.


4. Tracking Phone Numbers

You have a handful of contacts — vendors, contractors, service providers — whose numbers you need on a board so the whole team can access them.

How Memo helps: Create a board called "Contacts" or "Vendors" and add each number as a Phone type memo. The number renders as a tel: link, so on mobile devices you can tap it to dial directly.


5. Saving Addresses for Deliveries

Your team regularly ships to client addresses or receives deliveries and needs a quick reference.

How Memo helps: Use the Address type. Addresses are rendered as map links, so anyone can tap or click to open the location in their preferred maps app — no copy-pasting required.


6. Personal Daily Journal Entries

You want a lightweight daily log — nothing fancy, just a running stream of thoughts, wins, or to-dos for the day.

How Memo helps: Create a personal board called "Daily" (or "Journal") and add a new Text memo each day. Leave the title blank for even faster entry — just write your content and hit save. Over time the board becomes a searchable timeline of your notes.


7. Attaching Contracts and PDFs to a Memo

A client sends you a signed contract. You want it alongside the relevant notes without jumping between apps.

How Memo helps: Create a memo with any relevant context — the client name, deal summary, or key dates — then attach the PDF directly to the memo. Files up to 50 MB are supported. Everything stays together and is easy to find later.


8. Team Knowledge Base in a Team Circle

Your team keeps answering the same questions: where is the staging server? What's the Wi-Fi password at the office? Where are the brand assets?
