Tasks
Capture, organize, and complete your work — with realistic estimates and clear deadlines.
Whether you have five things to do today or fifty, Tasks gives you the clarity and structure you need to work with confidence. Create tasks in seconds, group them into collections, visualize your workflow on a Kanban board, and always know what's coming up.
What you can do
Capture tasks fast
Create a task with just a name. Add a description, link it to a collection, pick a deadline preset (Today, This Week, Next Week, This Month), and estimate how long it will take — all from a single form. The quick-add bar on every list lets you add tasks without leaving the view you're in.
Three statuses, always clear
Every task moves through three stages:
- Waiting — not started yet
- In Progress — actively being worked on
- Done — finished
Change the status directly from the list row, the Kanban card, or the task detail page.
Deadline presets
No date picker to fumble with. Choose a preset:
| Preset | What it means | |--------|--------------| | Today | Due today | | This week | Due before the end of the current week | | Next week | Due during the following week | | This month | Due before the end of the current month |
Tasks without a deadline are treated as "anytime" tasks and appear in the Quick Tasks view.
Time estimates
Select an estimated duration — 5 min, 30 min, 1 h, 2 h, 4 h, or 8 h — to help you plan your day realistically and avoid overcommitting. The All Tasks view lets you filter for tasks that still have no estimate so you can fill the gaps.
Views
Dashboard
The home screen. Shows your live task counts (Waiting / In Progress / Done), your active tasks, your recent collections, and quick-link counters for Today, This Week, and This Month.
Today / This Week / This Month
Focused date-range lists grouped by day. Tasks are shown only if their deadline falls within the selected period. Use these views to plan and review your workload at the right level of zoom.
Active
All tasks with status Waiting or In Progress, regardless of deadline — useful when you want to see everything you haven't finished yet.
Quick Tasks
Tasks that have no deadline and are not yet done. Perfect for the "someday / anytime" items you don't want to lose but aren't committed to a specific date.
Kanban board
Three columns — Waiting, In Progress, Done. Drag a card to another column to update its status instantly. A date-range filter (up to 31 days) lets you zoom in on a specific window; the board defaults to today through the next 7 days. Each card shows a two-line description snippet for at-a-glance context.
All Tasks
The full, unfiltered list of every task across all your circles. Supports:
- Free-text search
- Status filter (Waiting / In Progress / Done)
- "No estimation" flag — surface tasks missing a time estimate
- "No deadline" flag — surface tasks without a due date
- "Overdue" flag — surface tasks whose deadline has passed and aren't done yet
Collections
A collection is a named group of tasks — think of it as a checklist, a sprint, or a project folder. Collections appear on the dashboard and in the sidebar for quick access.
Collection view types
When you create or edit a collection, choose how it displays its tasks:
| View type | Best for | |-----------|---------| | Classic | Standard single list — all tasks together | | Hide Now | Two tabs: Active (not done) and Archive (done). Keeps focus on remaining work | | Hide Tomorrow | Two tabs: Today & Active and Previous Days. Ideal for ongoing, never-ending collections like a daily log |
Time-to-live (TTL)
Collections can be given an expiry time in hours. Once the TTL elapses, the collection and all its tasks are automatically deleted by a background job. Useful for ephemeral checklists — a shopping run, a meeting agenda, a one-off sprint — that you never want to clean up manually.
Import from JSON
Upload a .json file to create a collection with all its tasks in one shot. The file can specify task names, descriptions, statuses, deadlines, and estimates. Maximum file size is 512 KB.
Task Models
A model is a reusable template — a predefined list of task names that you can stamp out into a new collection with one click. Create a model once (e.g. "Weekly review", "Onboarding checklist", "House move"), then generate a fresh collection from it whenever you need it.
Models are managed at /tasks/models. From any model you can:
- Add or remove items
- Instantly create a new collection pre-populated with all the model's items
- Duplicate the pattern across multiple circles
Sharing
Collections can be shared two ways:
- Link share — generate a tokenized URL and send it to anyone. The recipient gets read access to the collection without needing an account.
- User share — share directly with another registered user. The collection appears in their Share dashboard.
Circles (workspaces)
All tasks and collections belong to a circle. Your personal tasks live in your personal circle; team or family tasks live in shared circles. The sidebar always shows your 10 most recent collections across all your authorized circles.

Tips to get the most out of Tasks
- Estimate every task. Even a rough "30 min" estimate transforms an abstract to-do into a schedulable item. Use the No Estimation filter regularly to catch stragglers.
- Use deadlines as intentions, not promises. The preset system makes it easy — pick "This Week" and move on. Overdue tasks are highlighted automatically.
- One collection per project. Keep each project focused. Use the Hide Now view so the done pile doesn't distract you from what's left.
- Model your recurring patterns. Any checklist you run more than once — weekly review, sprint planning, deployment steps — belongs in a model.
- Let TTL do the cleanup. For short-lived checklists, set a TTL of 24–48 hours and never think about it again.
- Quick-add from the list you're already in. The add bar on Today/This Week/This Month pre-fills the deadline preset automatically, so the new task appears in the right list immediately.
