Memo Features

Everything you need to know about what Memo can do — from boards and types to encrypted passwords and file attachments.


Boards

Boards are the top-level containers in Memo. Think of each board as a physical corkboard on your wall — you pin related sticky notes to it.

  • Create as many boards as you need within a circle/workspace.
  • Give each board a clear, descriptive name (e.g. "Work Ideas", "Shopping Lists", "Project Alpha").
  • One board can be marked as your Default Board — this is where Quick Memos land automatically.
  • Boards are isolated per circle, so a board in your "Personal" workspace won't appear in your "Team" workspace.

Memo Types

Every memo has a type that tells Memo how to display and handle its content. When you pick the right type, Memo can do the heavy lifting — turning raw text into a clickable link or a properly formatted phone number.

Tip: You can always change a memo's type after creating it by editing the memo.


Favourites (Starring)

Any memo can be starred as a favourite. Starred memos are surfaced for quick access, so the handful you reach for constantly do not have to be hunted for on a busy board.

Starring is per memo, not per board, and it does not move the memo — it stays where you filed it.


Bookmarks

Colistor no longer has a separate Bookmarks app: saving links is a Memo feature. A bookmark is simply a memo of type URL, which renders as a clickable link opening in a new tab.

This means links live alongside everything else about a topic rather than in their own silo — the supplier's phone number, the portal login, and the portal URL can sit on one board.

If you used the old Bookmarks app, your data was migrated automatically:

Nothing needed to be re-entered, and the boards can be renamed or merged like any other.


Password Security

Password-type memos are designed to store sensitive credentials safely.

  • The memo's value is encrypted using AES-256-GCM — one of the strongest encryption standards available.
  • The encrypted value is stored in the database; the plaintext is never persisted.
  • In the board view, a password memo always shows a row of bullets (●●●●●●●●) — never the real value.
  • Click the Reveal button on the memo detail view to decrypt and display the value on demand.
  • Closing or navigating away automatically hides the value again.

Good uses for Password memos:

  • Shared service login credentials for a team
  • Wi-Fi passwords pinned to a "Home" board
  • API keys or tokens you need to reference occasionally

⚠️ Password memos are not a replacement for a dedicated password manager for personal credentials. They are best suited for team-shared or project-scoped secrets within a trusted circle.


File Attachments

Any memo can have one or more files attached to it.

  • Maximum file size: 50 MB per attachment.
  • Supported file types: documents, images, PDFs, spreadsheets, archives, and more.
  • Files are listed in the memo detail view and can be downloaded individually.
  • Attach contracts, screenshots, reference images, or any document that belongs alongside a note.

To attach a file:

  1. Open or create a memo.
  2. Scroll to the Attachments section.
  3. Click Upload File and select the file from your device.
  4. Save the memo — the attachment is linked to that memo permanently.

Quick Create

Quick Create is the fastest way to capture an idea without navigating through menus.

  • A Quick Memo button is always visible in the sidebar or top bar.
  • Clicking it immediately opens a compact form scoped to your Default Board.
  • Fill in your content (title is optional) and save — done in seconds.
  • No need to choose a board, scroll through lists, or click through multiple screens.

Tip: Quick Create is most powerful when you've set a meaningful Default Board. Set your most-used board as the default so every quick capture lands exactly where you expect it.


Default Board

The Default Board is your primary capture destination.

  • Exactly one board per circle can be marked as the default.
  • The Default Board is used automatically by Quick Create.
  • You can change which board is the default at any time from the board's settings.
  • If no board is set as default, Quick Create will prompt you to choose a board or set one first.

Circle Isolation

Memo respects the circle/workspace model of the platform.

  • Every board belongs to exactly one circle.
  • All memos on a board inherit that circle's membership.
  • Users who are not members of a circle cannot see its boards or memos.
  • When you switch circles in the top navigation, you'll see only the boards that belong to that circle.

This means you can safely keep personal notes in a private circle while collaborating on a shared board in a team circle — with complete separation between them.
